# Money Held or Frozen
Source: https://paymentsandrisk.com/docs/operations/holds-and-reserves

Last updated 23 October 2026.

TL;DR

- Start with the notice, then get the reason and next step in writing
- A slice withheld points to a reserve. A stopped payout needs its own status check
- Ask for risk or underwriting, not frontline support, when the hold needs explaining
- Bills due now? Count cleared bank cash, then ask suppliers about a payment plan

Your processor's holding your money. It's stressful, and it's usually not fatal. The notice tells you what's held, why, and what to do next.

## What does your notice say?

Open your account directly and save the notice, including its deadline. If the reason's missing, ask for it in writing.

| A percentage or fixed amount withheld | [Types of holds](https://paymentsandrisk.com/docs/operations/holds-and-reserves/#types-of-holds) |

| A closure or termination notice | [Your closed account's balance](https://paymentsandrisk.com/docs/operations/holds-and-reserves/#my-account-was-closed) |
| No capital offer, or a declined application | [Capital offers](https://paymentsandrisk.com/docs/operations/holds-and-reserves/#did-a-dispute-block-my-capital-loan) |

Want it in order? [Follow the held money steps one at a time](https://paymentsandrisk.com/docs/operations/money-held-step-by-step/).

## Bills due now

Start with a scrap of paper or one spreadsheet listing cleared bank cash, held funds, refunds, and bills. Put a date beside each bill. Keep an unconfirmed payout out of available cash.

Ask your bank which deposits have cleared, then call the supplier before the bill's overdue. Ask whether a written payment schedule is possible.

> My payout's held, and I can pay \[amount\] on \[date\]. Can we agree a payment schedule for the balance?

Don't count a possible loan offer as cash. Use [Cash Flow Forecasting](https://paymentsandrisk.com/docs/operations/cash-flow-forecasting/) if you need a longer view.

## Types of holds

The name tells you what to ask, so start with the wording in your own notice.

### Rolling reserve

A percentage of each payment is set aside, then released later under the reserve schedule. You're building new reserves while earlier portions wait for release. VENDOR [PayPal's US agreement](https://www.paypal.com/us/legalhub/paypal/useragreement-full).

### Upfront reserve

A lump sum set aside at once, or built up from your sales until it's funded. PayPal's agreement describes both for its minimum reserve. Ask which one your notice means. VENDOR [PayPal's US agreement](https://www.paypal.com/us/legalhub/paypal/useragreement-full).

### Payout hold

Your payout is delayed or stopped. This is the scary one. A reserve you know about in advance. A payout hold means something's already gone wrong. Square's US terms allow payouts to be suspended or delayed. Check whether your notice names verification, a reserve, or another restriction. VENDOR [Square's payment terms, section 14](https://squareup.com/us/en/legal/general/payment).

## When funds are held: step by step

### Assess the notice

1. Save the notice, amount, date, and case number
2. Record your provider, product, and account country
3. Mark each amount held, scheduled, sent, or unknown
4. Ask for the reason, required action, and next date in writing

Keep one private case record if it's just you, with the notice and replies together.

> What's held, and what's the reason? What do you need from me? Is the next date a review or a release? Please confirm in writing.

### Payouts paused and verification keeps failing?

Follow the deadline in the notice and send the requested records through its verified upload route. Save the confirmation and any exact error.

If verification's stuck, check whether it's pending, rejected, or failing to upload. Don't keep sending the same file without an answer.

> I submitted \[item\] on \[date\], and the screen says \[exact message\]. What's missing, and what's the accepted next step?

Use [Underwriting](https://paymentsandrisk.com/docs/payments/buying-payments/underwriting/) to organize your records, then check them against what's requested in your notice.

### If they're unresponsive

Ask for risk or underwriting (the team that reviewed your account when you signed up), not frontline support. Ask support to route the case if needed. Keep the case number and replies together.

> Please route this to whoever can explain the hold terms. I've supplied \[items\]. What remains outstanding, and when should I follow up?

If the amount threatens your business, consider legal advice and bring the agreement and notice with you.

Need a complaint route? [Check the account product and office first](https://paymentsandrisk.com/docs/operations/processor-took-money/#complaint-routes).

## What triggers holds, and where do I look?

Use the provider named in your notice, since these paths describe each provider's own process. A risk factor isn't proof of your account's reason.

### Stripe

Check the Dashboard and email for outstanding verification requests, which Stripe says can postpone payouts. If a payout's sent, open Payouts, select it, then check Account details. Save the destination and trace information for your bank. VENDOR [Stripe's payout FAQ](https://support.stripe.com/questions/my-payout-is-missing-changed-or-postponed).

For reserves, open Dashboard > Balance > Reserve and check the terms Stripe emails you. Stripe weighs dispute and refund rates among other factors, and lists elevated disputes and an unexplained jump in processing volume as reasons for a reserve. VENDOR [Stripe's reserve FAQ](https://support.stripe.com/questions/reserves-frequently-asked-questions).

### Shopify Payments

As the store owner, check the admin notice and owner email for account-specific details only you can access. Those messages give your hold instructions. VENDOR [Shopify's account holds guide](https://help.shopify.com/en/manual/payments/shopify-payments/payouts/account-holds).

For reserve transactions, go to Finance > Payouts > View order transactions. Export the period and filter for reserve funds. The payouts view may differ during Shopify's rollout. Shopify lists chargebacks, refund increases, and volume surges as reserve factors. VENDOR [Shopify's reserve guide](https://help.shopify.com/en/manual/payments/shopify-payments/payouts/reserves).

### Square, United States

As the primary owner handling re-verification, open Account Settings > Notifications > Account, or the Dashboard bell. Check the request's deadline there. VENDOR [Square's verification guide](https://squareup.com/help/us/en/article/8663-verify-your-identity-and-square-business-information).

For reserves, open Balance > Reserve Dashboard to see your terms and upcoming releases. Square considers chargebacks, prepayment with refund exposure, and changes in processing patterns, including payment count. Released reserves reach your available balance before transfer under your settings. VENDOR [Square's reserve guide](https://squareup.com/help/us/en/article/6832-reserves-faq).

### PayPal, United States

For a limitation that can restrict withdrawals, open the Resolution Center or Dashboard bell. PayPal lists rapidly increasing sales among its limitation reasons. VENDOR [PayPal's limitation guide](https://www.paypal.com/us/cshelp/article/why-is-my-paypal-account-limited-help534).

Its reserve factors include chargebacks, refunds, and processing history. Keep the limitation reason separate from the reserve terms. VENDOR [PayPal's reserve guide](https://www.paypal.com/us/cshelp/article/why-is-my-money-being-held-in-reserve-help392).

## What terms apply to your hold?

Get the percentage or fixed amount from your notice, along with the event that starts the clock. Add release conditions and any deductions. Don't substitute a review date for a release date.

> Which event starts this term? Is \[date\] a review or a release? What could change it? What happens before the money reaches my bank?

PayPal's US agreement allows certain risk-related balance holds up to 180 days. Legal-process holds can last longer. That isn't a deadline for every reserve or closed account. VENDOR [PayPal's US agreement](https://www.paypal.com/us/legalhub/paypal/useragreement-full).

## Cash flow math: a small-shop example

**Example only. These aren't typical reserve terms.** Suppose a shop processes $20,000 each month. Assume 10% is reserved, with each month's batch released three monthly steps later. Ignore fees, refunds, disputes, and calendar differences for this illustration.

```mermaid
flowchart LR
    M1["Month 1: $2,000 held"] --> M2["Month 2: $2,000 held"]
    M2 --> M3["Month 3: $2,000 held"]
    M3 --> M4["Month 4: $2,000 held"]
    M1 -.->|"Example release schedule"| R1["Month 4: first $2,000 released"]
    style M1 fill:#b42318,color:#fff
    style R1 fill:#1f6f4a,color:#fff
```

_Example reserve cycle. Use your own notice's rate, start event, and release schedule when replacing these numbers. Monthly batches simplify the picture; they aren't exact daily release dates._

| Month | Processed | Held at 10% | Released | Reserve balance at month end |
| --- | --- | --- | --- | --- |
| 1 | $20,000 | $2,000 | $0 | $2,000 |
| 2 | $20,000 | $2,000 | $0 | $4,000 |
| 3 | $20,000 | $2,000 | $0 | $6,000 |
| 4 | $20,000 | $2,000 | $2,000 | $6,000 |

That's $2,000 added each month until releases catch up. In month four, a new $2,000 replaces the released $2,000. The reserve balance stays $6,000 under these assumptions. Plan for it.

Your calculation is opening reserve plus new holds minus releases. Subtract any reserve used for refunds or disputes too. Keep bank cash separate from the reserve balance. A release into your processor balance isn't a cleared deposit.

## Can I ask for a reserve review?

Use your notice's review route and explain what's changed with facts and dates. Ask what can be reviewed, without assuming a reduction.

Stripe shows an appeal option on Balance for eligible accounts; if it's missing, contact support to ask. VENDOR [Stripe's reserve FAQ](https://support.stripe.com/questions/reserves-frequently-asked-questions).

Shopify lets eligible merchants reply to the reserve-terms email. Follow its stated window. Some reserves have removal requirements instead of that appeal route. VENDOR [Shopify's reserve guide](https://help.shopify.com/en/manual/payments/shopify-payments/payouts/reserves).

Square reviews reserve accounts after at least six months. Its team starts the review; you don't need to request it. That's a review, not a promised removal. VENDOR [Square's reserve guide](https://squareup.com/help/us/en/article/6832-reserves-faq).

> Here's what's changed: \[facts and dates\]. Is this reserve eligible for review? What evidence would help, and when should I check back?

## My account was closed. What happens to the balance?

Save the closure notice, balance, deductions, and release conditions, then ask about the money separately from account reinstatement.

Need a replacement provider? [Check business acceptance separately](https://paymentsandrisk.com/docs/playbooks/processor-closed-account/#will-anyone-take-my-business).

Square's US deactivation appeal is limited to eligible sellers. The route can appear in the deactivation email, Dashboard, or POS app. The decision email explains any impact on held funds. VENDOR [Square's appeal guide](https://squareup.com/help/us/en/article/8648-appeal-a-compliance-deactivation-of-your-square-account).

> What's the remaining balance after deductions? What condition must be met before release? Please confirm the next date in writing.

### MATCH listing

If your notice names MATCH, ask for the listing reason. Mastercard's MATCH Pro system keeps merchant records for five years. That's record retention, not your funds' release schedule. NETWORK [Mastercard's merchant rules, section 11.10](https://www.mastercard.com/content/dam/mccom/shared/business/support/rules-pdfs/SPME-Manual.pdf).

Use [MATCH and the TMF](https://paymentsandrisk.com/docs/chargebacks/match-tmf/) for the listing question. Keep the balance question open with your provider.

## Taking payments while funds are held

Check whether your current account can still accept payments. Stripe says a reserve doesn't stop you accepting payments. Shopify's hold notice says whether checkout's affected. Opening a second processor account doesn't release the first account's held money. For Square US, reserve provisions survive termination; the old balance stays subject to its terms. A closure can also carry a MATCH listing when Mastercard's listing conditions apply. Other acquirers must check MATCH Pro before signing or enabling acceptance. Plan a separate payment route with [Multi-Processor Operations](https://paymentsandrisk.com/docs/operations/multi-processor/), while pursuing the held balance. VENDOR [Stripe's reserve FAQ](https://support.stripe.com/questions/reserves-frequently-asked-questions), [Shopify's hold guide](https://help.shopify.com/en/manual/payments/shopify-payments/payouts/account-holds), [Square's terms, sections 38-39](https://squareup.com/us/en/legal/general/payment). NETWORK [Mastercard's rules, sections 11.5-11.6](https://www.mastercard.com/content/dam/mccom/shared/business/support/rules-pdfs/SPME-Manual.pdf).

## Did a dispute block my capital offer?

Keep funding and held payouts as separate cases, starting with whether there's no offer or a declined application.

For Square US, open Dashboard > Loans. Offers are automatic; support can't generate or predict them. Disputes and reserves are eligibility factors. A decline email gives the specific application reasons. VENDOR [Square's loan guide](https://squareup.com/help/us/en/article/8544-review-loan-eligibility-requirements).

For Shopify Capital, the owner checks Finance for offers, with disputes and reserves among the factors affecting eligibility. An offer doesn't guarantee funding. VENDOR [Shopify Capital's eligibility guide](https://help.shopify.com/en/manual/finance/shopify-capital/eligibility).

Don't assume one dispute explains a missing offer. Check the actual decision before planning around it.

## Where This Breaks

**Your payout's late and there's no notice.** Ask that day. Don't wait for an email.

**The fine print.** Read the risk section of your agreement. That's where the reserve and hold rights are written. PayPal's and Square's US terms both carry them.

**Two restrictions at once.** Verification and a reserve need separate answers. Ask what's outstanding for each one.

**A review date looks like payday.** It isn't. Ask for the release condition and later transfer step.

**The screen says sent.** That needs a payout trace. Start with [Payout Strategy](https://paymentsandrisk.com/docs/operations/payout-strategy/).

**Someone else handles bills.** Give them the next confirmed update. Keep an expected release outside available cash until it arrives.
