Taking an app payment for a U.S. sale or job
- Check that your account can accept this sale
- Open the payment in your own account
- Keep the receipt, amount and transaction reference
- Set the job's scope and deposit terms before work starts
- Got a notice? Save its sender and response deadline
A customer wants to pay through an app. Before you accept the sale, open your own account and find the payment. Keep its record beside the receipt or job invoice. Taking a deposit? Agree the scope and dates first. Got a notice? Read it before calling it a chargeback.
This guide uses U.S. product terms for sales and jobs. Outside the U.S., check your provider's local terms first. An app name doesn't establish your payment's outcome.
Check the account before you accept
A customer asks, "Can I pay through this app?" Whether you're selling at a stall or online, start with the account and payment type. The app's logo won't tell you which terms apply.
| App | What your sale needs | Check in your own account |
|---|---|---|
| Venmo | Authorization to accept purchases: a business profile or a purchase-tagged personal-profile payment, when available. Venmo selling rules | Confirm the receiving profile and purchase label. Save the actual payment and sale receipt. |
| Cash App | Eligible sole proprietors can enroll in Earn in P2P and sell in their individual capacity. Registered entities, including single-member LLCs, need a Business Account. U.S. terms, VII.7 | Confirm enrollment or the Business Account product. Keep Earn in P2P separate from Business Account card acceptance. |
| PayPal | Use goods and services for a sale. Friends and Family is personal and lacks Purchase Protection. Business accounts can't receive personal transactions. Payment types, U.S. agreement | Confirm the payment type. The agreement requires a business account for primarily commercial activity, even without incorporation. |
| Zelle | Your bank must offer Zelle for your business account type. The bank sets limits and any fees. Small-business FAQ | Ask the bank about eligibility and limits. Match the receipt to the transaction in your own bank account. |
These are the providers' product rules. VENDOR
For Venmo, open Me, then your name or username. Choose your business profile in the profile switcher. Support is under Me > Settings > Get Help > Chat With Us. VENDOR Business Profiles FAQ.
Zelle doesn't offer purchase protection, so ask your bank about coverage for missing or misdescribed goods. That buyer-facing policy doesn't decide a seller's loss. VENDOR Zelle purchase guidance.
Before quoting a method, ask your provider:
Is my account approved for this customer sale? Which payment type will appear on the receipt? Can it be disputed or reversed under my current terms?
Read the notice before you call it a chargeback
Start with the sender and transaction ID, then check whether PayPal names a claim or card chargeback. The issuer decides the card chargeback. VENDOR PayPal chargeback help.
The buyer's protection isn't your seller response plan. Read the account, payment type and claim named on the notice before choosing your response. If they're unclear, ask the sender for that detail.
| Payment or notice | Records to save | Where to respond |
|---|---|---|
| Venmo purchase payment | Receiving profile, purchase label, sale receipt or job invoice, and transaction record | Venmo says to contact the other party first, then Support if unresolved. Certain business-profile purchases qualify for its Purchase Program. Tap to Pay card customers go to their financial institution. Business Profiles FAQ |
| Cash App Business Account card payment | Notice, card transaction, receipt or invoice, and delivery or service records | Follow the Business Account notice. The terms allow chargebacks or account debits. Failure to supply requested documents within fifteen days may cause an irreversible chargeback. Use your notice's deadline. Business terms, II |
| Cash App Earn in P2P receipt | Enrollment, eligible sole-proprietor account, original payment and notice | Follow the notice. The Earn in P2P terms allow chargebacks and balance debits on an Earnings Transaction. Not sending requested documents within fifteen days of Cash App's request may make a chargeback irreversible. Use your notice's deadline. Earn in P2P terms, VII.7 |
| PayPal goods-and-services payment | Case or chargeback notice, receipt or invoice, completion records and buyer messages | For an unauthorized-transaction case, open Resolution Center > the case, then upload requested information. For a card chargeback, the issuer decides; provide evidence through PayPal. Unauthorized cases, chargebacks |
| Zelle payment or bank notice | Your own bank transaction, receipt or invoice, customer messages and notice | Ask the bank named on the notice what it needs. Zelle directs enrolled customers reporting scams or unauthorized payments to their bank. That guidance doesn't decide a seller's response or loss. Scam reporting |
The response routes above come from each provider. VENDOR None establishes the outcome of your particular payment.
Save the notice with the original transaction and customer messages, then ask support:
Is this an app claim, card chargeback or bank notice? Which records do you need? Where's my response deadline?
Set the deposit before work starts
Taking an advance for a job or appointment? Put the scope, dates and each payment's purpose in the estimate, with changes agreed in writing. Confirm the amount and purpose before accepting the advance.
If the estimate isn't accepted, settle that before you assign the advance to any work. A large payment alone doesn't prove fraud. Already holding a paper check? Ask your bank how to handle it while you confirm the agreement.
Say to the customer:
Here's the scope, each date and what each payment covers. Which listed method works for you?
For a salon or tattoo booking, use the appointment deposit checks. Keep the booking tool's supported payment and refund flow. For a patient, start with payer and insurance checks.
You're still responsible for checking the contract and applicable local rules. This guide sets no deposit percentage or cancellation term. It doesn't grant permission to keep a deposit.
Choose a method for a larger job
Compare the full invoice cost for a $10,000 job, using that amount as an example. It isn't a recommended threshold. List only methods your account is approved to accept. Keep the schedule in Invoicing.
Here's one published U.S. example using Stripe Invoicing Starter. It's the same calculation used in Invoicing's provider examples. Check your own account before quoting a customer.
| Method on a paid $10,000 invoice | Published pricing used | Example transaction and invoice fees |
|---|---|---|
| Domestic card | 2.9% + $0.30 processing, plus 0.4% Invoicing Starter | $290.30 + $40 = $330.30 |
| ACH Direct Debit | 0.8% processing capped at $5, plus 0.4% Invoicing Starter | $5 + $40 = $45 |
VENDOR Stripe Payments pricing, ACH Direct Debit pricing, Invoicing pricing. DERIVED Arithmetic above. These examples exclude optional verification, screening, faster settlement, custom terms and taxes.
The cheaper fee doesn't make the payment final. For an unauthorized consumer ACH debit, the receiving bank's ordinary return deadline runs from settlement. It must make the return available to the originating bank by opening of business on the banking day after the 60th calendar day. A Written Statement of Unauthorized Debit is required. Business debit returns have a different deadline. These aren't rules for a customer-pushed ACH credit. NETWORK Nacha's public return FAQ. Read the return timeframes; separate warranty claims can follow.
Ask when the money will reach your bank, with limits and return instructions in writing. The fee example won't answer those account questions for you.
If ACH's confirmed cost and funds date fit, keep it on the estimate. If either misses your schedule, choose another eligible method or reset the milestones. A card, check or app still needs its own account checks.
Ask your provider:
What fee applies to this amount and payment type? When can I use the money? How do refunds, returns or disputes work? Please send my current terms.
Handle an overpayment or refund request
An unusual amount isn't proof of fraud. Check it against the quote and your own account.
A check arrived for more than the invoice
Pause before sending extra money back. The FTC warns about fake checks for too much. The scammer then asks you to return the difference. Funds showing in your account don't prove the check's good. A fake check can take weeks to surface. FTC fake-check guidance.
Call your bank at a number you trust and ask how to handle the original check. Pause any separate repayment while you get that answer. Keep the check, invoice and messages together for that conversation.
The customer agreed to a partial refund
Match the request to the original receipt and written agreement. Check the payment's status and any refund already recorded. You're checking what's owed before moving money again. Save the request, agreed amount and resulting refund record.
Use the provider's refund flow for that original payment. For PayPal, open Activity > the payment > Issue a refund, enter the amount and review it. Venmo business profiles have a Refund option on the payment's details screen, subject to eligibility and balance requirements. VENDOR PayPal refunds, Venmo refunds.
For a salon or tattoo deposit, check the accepted terms and applicable rules. A booking-platform card payment needs that provider's supported refund flow. Keep the booking deposit checks beside the request.
If a claim's open, save its notice first. Ask the provider before refunding that transaction. If it's already reversed, show that record to support. Confirm what's still owed before issuing another credit.
I'm checking payment [ID] and its recorded status. A refund or case already shows [state]. Which supported step avoids paying this twice?
You sent money to a scammer
Report it immediately to the app you used. For Zelle or a bank transfer, contact your bank or credit union immediately. Ask whether it can reverse the payment and refund you. Recovery isn't guaranteed. The FTC's guidance covers money you sent to a scammer. It isn't a rule for refunding money you've received. FTC scam response.
Scale Callout
| Who handles the sale or job | Record to keep |
|---|---|
| One operator | Receipt and transaction, plus accepted scope and dates for a job |
| A team or bookkeeper | A named person matching each payment, refund and notice to its sale or invoice |
Where This Breaks
Your account, transaction, bank and notice still matter. Public terms can't tell you a private case's outcome. A bank's confirmation isn't a promise of irreversible payment. Get the response instructions for your actual transaction before acting on a generic app comparison.
Test to Run
Use sample records for a stall sale and a job estimate. Check the account, receipt, payment type and notice route. Add a salon deposit with an agreed partial refund. Then try a check overpayment and an already-reversed payment. No live payment or refund is needed for this walkthrough.
Can you match each payment to the agreement? Can you find the sender and actual response deadline? Pass when another operator can name the next contact and explain the next step without trusting a customer's screenshot.
