1099-K: why it doesn't match your sales

TL;DR
  • For 2025 federal reporting, payment-card transactions through a merchant account have no minimum. IRS, Q2.
  • On Square or Shopify Payments? Both tell sellers the 2025 threshold is over $20,000 and more than 200 transactions (Square: "in most states"). Square, Shopify.
  • For 2025 federal third-party-network reporting (apps and marketplaces): over $20,000 and more than 200 transactions.
  • Your form's gross total isn't your bank deposit. IRS, Q8.
  • Match the form to its filer's transaction report.
  • If the form's wrong, ask its filer for a correction. IRS recipient FAQs, Q4.

Your form doesn't match your deposits, so start with the filer's records before changing your books. Box 1a reports gross payments before refunds, chargebacks and fees. Your deposit can differ because of those adjustments and timing. IRS, Q8. VENDOR Square gross-amount explanation.

Should I get a form?

Check the form number first, because another kind of 1099 needs its own instructions.

For US tax year 2025 federal Form 1099-K reporting, check the payment type:

Payment type2025 federal reporting rule
Payment-card transactions through a merchant accountNo minimum amount or transaction count.
Third-party-network transactions through a third-party settlement organization (TPSO)Gross payments exceed $20,000 and more than 200 transactions. Both conditions apply.

States can set lower thresholds for third-party-network reporting. Forms can arrive below the federal limits too. A reporting threshold isn't a tax-free allowance. IRS general FAQs, Q2, Q5 and Q7.

Below both limits on Square? That alone won't settle whether you'll receive a form. Ask Square about your payment type, product and year. A download button doesn't establish your account's reporting obligation.

Send the filer this:

Please confirm the reporting rule for this account. Which payment type, tax year and reporting role apply? Why was this form issued below the federal limits?

Match the form before matching the bank

Save the form with its supporting report, noting the year and account you've selected. Add the taxpayer identification number, or TIN, securely. Keep full tax IDs out of ordinary support messages.

Compare the report with the form's gross total. Reconcile bank deposits separately, using the payout walkthrough. Neither comparison settles your taxable income on its own. The IRS requires other tax records too. IRS recipient FAQs, Q1 and Q2.

Square

In Square Dashboard, open Account & Settings > Tax forms. Download the relevant form for the selected year. Square's reconciliation instructions use UTC and payment-method filters. Follow those settings before comparing the Payment Methods report. Keep physical cash out of that tax-form comparison. VENDOR Square 1099-K help.

Save the report settings beside the export, and ask Square about eligibility if the form isn't there. Ask the account owner to check your access too.

Stripe

Ask Stripe or your platform for the form and its supporting transaction report. Name the account product and tax year. Ask which date basis and filters apply before comparing totals. Keep the tax-year record separate from the payout report.

Send this request through your account's secure support route:

Please identify the filer for this account and year. Where can I obtain the form and its supporting transactions? Which date basis, time zone and adjustments explain the total?

Keep the answer with the form, and contact its named filer if you've still got questions. IRS recipient FAQs, Q3.

Shopify Payments, United States

For an issued form, open Finance > Documents > 1099-K. Select the form you need. The owner or staff with tax-document permission can access it. For its transactions, use Finance > Payouts, then click Payouts. Choose View order transactions > Export > 1099-K Transactions. Select the tax-year range, then Export items. Shopify uses posting dates in UTC for this report. It excludes payments processed outside Shopify Payments. The report depends on an issued form; pre-2023 mismatches need Support. VENDOR Shopify US tax reporting.

Can't see the option? Ask the owner to check permissions and the issued form. Check an orders export's scope before using it instead.

Got several forms or accounts?

Keep each filer's transactions separate, with the form number, year, account and reported amount beside them. Record any correction against the original form. Ask each filer which accounts its form covers. Confirm each provider's account grouping before combining records.

Keep all forms with the records behind them. The IRS says to use them together when filing. A form count alone won't answer the tax question. IRS recipient FAQs, Q11.

Sold your own belongings through PayPal?

Keep the purchase and sale records together, including the item, purchase cost, proceeds and fees. Mark which records you've got and which need replacing. Take that folder and the form to your preparer. The IRS distinguishes personal-item gains from sales at a loss. The form alone doesn't make that distinction for you. IRS common situations.

Use these words:

These were my personal belongings, rather than stock. Here's what I paid and what I received. Which records do you need to report them correctly?

The amount or name looks wrong

Contact the filer shown on the form and ask for a correction if it's needed. The IRS recipient FAQ explains that route. IRS, Q4.

Send this through the provider's secure support channel:

My form and supporting report don't match. The year is [year], for account [account reference]. The difference is [amount], with these transaction references attached. Please explain the difference or issue a corrected form.

Keep the response with your tax records. The IRS says a missing correction shouldn't delay filing. Ask your preparer how to report the unresolved error.

Where This Breaks

This page covers US Form 1099-K record matching. For another tax year, check the IRS rule for that year and payment type. Confirm your state and account's reporting role with the filer. A download button won't settle those questions.

Test to Run

Choose one issued form and its supporting export. Record the account, year, date basis and report filters. Compare the documented gross total with Box 1a. Send every unexplained difference to the filer, keeping it open until you've got an explanation.
